One-size-fits-all is convenient. Quick to install, easy to self-administer, and for a lot of businesses, it just works. We’ve got plenty of standard platform installations out in the field that our customers are perfectly happy with, no complaints, no bolt-ons, nothing missing.
We’ve also got customers who started out fine and grew past what that same kind of system could handle. What works for one organisation doesn’t necessarily work for the next, and it doesn’t always stay working for the same one either.
It’s a bit like box hair dye. The photo on the front looks great, but everyone’s starting point is different, and the result depends on more than the picture on the box. Sometimes it turns out exactly as promised. Sometimes it really doesn’t. Off-the-shelf communication systems have the same problem: the pitch is built around an average business, and real businesses are rarely average for long.
Every organisation uses its communication channels differently. Some live and die by the phone, tracking every call to squeeze out better customer service. Others barely touch voice and run almost entirely on email and messaging. Priorities shift over time too and when a system wasn’t built to shift with them, you end up stuck inside whatever box it was designed for, reaching for bolt-ons to patch the gap. That’s usually when things start getting messy.
Take an IT Manager we work with. His teams were spread across several branches, and missed calls only ever came to light after the fact, buried in a report nobody read until the moment to do anything about it had already passed. The customer, more often than not, had already called someone else.
What he actually needed wasn’t a better report. It was to know, there and then, that a call had been missed, while there was still time to pick up the phone and call the person back.
Plenty of systems offer some kind of live dashboard. But most give you what the vendor decided to build, not what you actually need, and if it doesn’t quite fit, that’s usually the end of the conversation. In this case, it wasn’t. He described exactly what he needed, and we built it: a live view of missed calls, straight to the screen, so someone on the ground could see it and act while it still mattered.

But the enterprise pedigree wasn’t really what mattered here. What mattered was that when this IT Manager described a specific, real problem, nobody had to shoe-horn it into what the system already did. We just built the answer.
Don’t ask a provider whether their platform is flexible. Everyone says yes. Ask something narrower, like: if my business needed something specific that isn’t on your feature list today, what actually happens next?
For some businesses, the answer might be that the feature isn’t available right now, and that’s perfectly fine. But if your business keeps running into the limits of what your system can do, it’s worth asking whether you’re using the right platform in the first place.
